Volunteer School Representative

Each school that chooses to participate in the Olympia Junior Programs is asked to assign one or two parents to serve as their “School Representative”. OJP School Representatives are vital to the success of this program, assisting in communication with the school and the volunteers who help as Theater Ushers during the performance. In addition, per the OJP by-laws, school representatives also hold a voting position at the April Rep Meeting.

The duties and other helpful information for this position are outlined below.

  • The School Representative(s) will represent your school at the OJP Informational/Training meetings that are held leading up to the start of the performances. These meetings tend to be in February and April.

  • The School Representative Training date, time, and place will be held available here shortly after the New Year.

  • They are responsible for providing all relevant information pertaining to the performances to staff, teachers, and students at their school. This may include theater information, show dates/times, educational materials pertaining to each show, evaluation form information, as well as permission slips and payment forms.

  • They may assist the school in collecting permission slips and payments from students.

  • They will recruit ushers for the performances that your school attends and will provide them with all of the information needed to learn about OJP and the duties expected of them.

  • School Representatives are expected to arrive 45 minutes prior to the show their school will be attending. They will check in at the check-in table to receive their name tag and most recent version of the seating chart.

  • School Representatives can be identified with name tags that have yellow ribbon attached to them.

  • They will assign the parent ushers jobs and go over any other important information prior to the required usher orientation that is provided by the OJP Usher Coordinator.

  • It is important that the School Representative go over the flow plan with ushers and discuss any unique situations for the show.

  • If possible, prior to the show, walk the route from where the students enter from the buses to the seating area.

  • Once everyone is seated, the School Representative will get a count of the number of seats occupied in their school’s seating area. It’s best to do this prior to the lights being turned down for the show.
